Irvine, CA Irvine, CA Full-time Full-time $110,000 - $135,000 a year $110,000 - $135,000 a year The Associate Director, Payroll and Total Rewards will be an essential function within People Operations and partner with our operations leaders and onsite team members.
This individual is accountable for payroll strategies and processes, bi-weekly and semi-monthly payroll processes, and accurate reporting of all payroll related activities.
The Associate Director, Payroll and Total Rewards is also responsible for creating and leading training initiatives on relevant policies & procedures, new system roll outs, ensuring compliance with all State, local, and Federal payroll requirements, and well-versed on current legislative/regulatory aspects that govern employee payroll.

$110K-135K base, based on experience, plus quarterly performance bonuses & more!
Job Description:
Payroll Oversees onsite and corporate payroll and time and attendance processes including processing company commissions and bonuses as applicable.
Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, job titles, department/ division transfers, terminations and changes to pay.
Lead initiative to streamline payroll and pre-hiring related processes and auditing to ensure efficiency.
Partner with finance and other internal leadership team members to produce quarterly reporting on profit participation summaries for team members for education purposes.
Submit General Ledger reports to Accounting to ensure accurate billing of departments and properties.
Compile post payroll accounting transactions and reporting.
Setup state taxes accordingly as we introduce new acquisitions.
Work with HRIS system partner and IT department as needed to optimize internal processes where there are opportunities.
Partner with leadership and other People Operations team members to optimize the HRIS platform including assisting with auditing data, updating and creating positions as needed, and mapping out salary grades.
Verify compliance with Federal, State, and local Payroll Tax Laws regarding payments of wages, tax withholdings, garnishments, and benefits.
Oversee the response to all Federal, State and local government agency requests regarding payroll matters.
Run quarter and year end payroll processing, including taxable fringe benefits, W-2's, and amendments in Compliance with Federal and State laws.
Complete audits while maintaining the data integrity of all payroll information to guarantee compliance.
Develop and maintain internal payroll processes and systems while ensuring SOX narratives are correct and compliant.
Responsible for reconciliation of payroll cycles and ensuring the General Ledger is accurate.
Confirm tax withholdings are correct and remitted per IRS guidelines for all equity compensation such as, but not limited to Restricted Stock and Non-Qualified Stock Options.
Collaborate with other departments within the company to develop timekeeping and payroll initiatives.
Responsible for the hiring, training and coaching of Payroll Team.
Review and approve all manual checks and adjustments for accuracy.
Partner with ADP to ensure Workers Comp codes are uploaded and accurate.
Oversee Employee Occupancy Agreement process.
Partner with People Ops Generalists to complete Wage Garnishments and Unemployment claims.
Manage State and Federal Poster Compliance.
Partner with People Ops leaders to ensure 1-9 process compliance.
Benefits and Reporting Manage all benefits programs, internal guidelines and materials relating to health, vision, dental, 401k, short- and long-term disability, time off, COBRA, EAP programming, wellness support and various company perks.
Develop, maintain and provide effective communication and strategies to drive employee awareness and understanding of all benefit programs.
Coordinate and facilitate payroll and benefits related training for team members in order to educate them on internal processes and offerings.
Partner with the Director of People Operations and the leadership team on purchasing, negotiating, and renewing plans and packages as well as educating employees about benefits and available resources including wellness offerings.
Manage new hire benefit enrollment and open enrollment processes and partner with the broker and benefits carrier to offer training sessions for team members during both periods.
Regularly benchmark company programs and monitor external trends to proactively adjust company plans and programs to ensure market competitiveness.
Manage employee entitlements, processing, and tracking, including those for medical leaves of absence, and reasonable accommodations for onsite and corporate team members.
Responsible for mandatory state and Federal reporting including annual 5500 reporting to the Department of Labor, and EEO-1 filing.
Responsible for OSHA and ACA reporting.
Responsible for 401k and benefit plan and billing auditing.
Manage monthly billing from insurance provides and other vendors, including auditing for accuracy, correct coding and advance for payment.
Compensation Partner with the Director of People Operations to design, develop, and execute a comprehensive total rewards strategy that aligns with our culture and business strategy and allows us to attract, retain, and motivate top talent.
Responsible for all aspects of compensation programs including management of data, processes, systems, salary review, bonus programs, long-term incentive programs, and reporting.
Work closely with the Talent Acquisition team in the development of market-competitive compensation packages to attract high-caliber talent while managing internal equity.
Additional Responsibilities Tracking metrics and presenting analytics data to the leadership team.
Demonstrates leadership and ability to manage multiple projects with varying priorities, simultaneously.
Serve as a point of contact for employees and managers with general inquiries and provide support promptly.
Provide ad hoc reporting support to onsite managers and department leaders.
Proactively manage new state and property setups including registering the company and setting up taxes when we acquire new properties.
Stay abreast of statutory and regulatory requirements in all jurisdictions.
Ensure the company is maintaining SOX compliance.

Attendance/Travel:
This position is a full-time position and may require the availability to work some nights, weekends, and occasional holidays.
The position also requires regular attendance and active participation/planning at company functions and events.
Travel is minimal and less than 5%.

Qualifications:
Computer Skills:
Intermediate computer and Internet knowledge.
Intermediate knowledge of MS Word, Excel, and Outlook.
Prefer knowledge of the following software programs:
ADP, Jobvite, SharePoint.
Education:
Bachelor's degree in Accounting, Business Administration, Human Resources, or related field is required.
PHR, SPHR or SHRM certification preferred.
Certified Payroll Professional (CPP) preferred.
Professional
Experience:
Must have 5 -10 years of progressive multi-state payroll management experience.
Experience with ADP Workforce Now and Time and Attendance required.
Knowledge of payroll laws and experience filing multi-state payroll taxes preferred.
